Our real estate client is seeking some interim meetings support assistance to join asap until the end of the year, possibly into January 2026. This will cover a recruitment gap while they seek to recruit someone at Company Secretarial Assistant level to join them permanently. The interim support will need to be at a more senior level than the permanent role to make sure someone can just step in and help during a busy period with no meetings training required.
This is a part‑time interim role, and everyone who works in the company is full‑time office‑based, so this role is 3 days a week in office, with no hybrid/WFH arrangements on offer for these three days. The meetings tend to take place on Tuesdays, Wednesdays and Thursdays and are 30–40 minutes long. There will also be a quarterly Board Meeting to support.
The role will primarily support the Group Company Secretary working in the wider Corporate Services Team. The purpose is to manage the end‑to‑end process on all Management Meetings, Executive Team Meetings and Subsidiary Meetings. At Topco level, the purpose is to assist the Company Secretary in the preparation of board packs.
Duties:
- Attend and minute weekly Management Approval Process and Executive Approval Process meetings. Organise meetings, collate meeting packs, draft minutes and follow up on actions. Track circulated reports for approvals and ensure approvals are sent to the relevant parties
- Preparing agendas and reporting schedules for the Topco and Opco Board
