Executive Assistant to Company Secretary (FSTE 250)

Location: London (Hybrid 3 days in office)

Overview

A prestigious financial services organisation is seeking a highly organised and proactive professional to join their Company Secretariat team. This role provides a unique chance to work closely with senior leadership, including Board members and Non-Executive Directors, while playing a key role in governance and executive support.

You will ensure governance processes run efficiently, coordinate high-profile meetings and provide seamless administrative support to senior executives, all while maintaining the highest standards of accuracy and professionalism.

Key roles and Responsibilities

Governance Support

  • Coordinate the annual schedule for Board, Committee, and Executive meetings, ensuring key dates and deadlines are met
  • Organise and support meetings, including preparing agendas, papers and minutes
  • Manage the production and distribution of Board materials using secure portal software, ensuring clarity and consistency
  • Act as the main contact for Non-Executive Directors, supporting attendance at meetings, events, and regulatory requirements
  • Oversee Board-related events such as offsite meetings, training, and engagement activities
  • Maintain formal records and minute books across the organisation

Executive Support

  • Provide diary management, email oversight and administrative support for senior executives
  • Coordinate travel, meetings and internal communications efficiently
  • Collaborate closely with the wider Executive Assistant network and Company Secretariat team to ensure smooth operations

Experience and Qualifications

  • Strong organisational skills and meticulous attention to detail
  • Experience supporting senior leaders or directors
  • Degree or professional governance qualification (desirable)
  • Previous experience with board-level governance or exposure to executive committees (desirable)
  • Familiarity with board portal software (such as Diligent)
  • Experience within financial services or a regulated environment
